This Privacy Statement and Information Clause explains our practices and processes regarding the collection, use and disclosure of certain information, including your personal information, by VoicePro Plus Limited ("VoicePro Plus") related to using VoicePro Plus Services.

At VoicePro Plus we are committed to the privacy and securing of the data we hold about you. Throughout the data collection process, all necessary steps are taken to ensure that data is used only for the purposes we clearly state. The data that we collect will depend on the service we provide to you.

You should read this policy along with the terms and conditions of the other services we provide to you. This policy applies to VoicePro Plus Limited, a single UK-incorporated company.

All data collected by VoicePro Plus for and through the use of the Service adhere to the General Data Protection Regulation 2016/679, the Data Protection Act 2018, the Privacy and Electronic Communications (EC Directive) Regulations 2003 (as amended) and all other applicable laws and regulations relating to processing of personal data and privacy.

Data is collected and may be used for three purposes. VoicePro Plus collects and processes, or has third party service providers who collect and process on VoicePro Plus's behalf, personal data relating to you, as permitted in order to (1) provide the VoicePro Plus Service, in particular to convey the communications you make by means of the VoicePro Plus Software and/or the VoicePro Plus Service and VoicePro Plus network, (2) invoice you for your use of the VoicePro Plus Service and (3) carry out VoicePro Plus marketing activities.

We process your personal data in accordance with Article 6 of the GDPR: Article 6(b) - the processing is necessary for a contract you have with VoicePro Plus; Article 6(f) - the processing is necessary for our legitimate interests; and in relation to your use of our website and associated cookies, Article 6(a) - you have given us your consent to process your personal data.

When you sign up to the Service we will ask you (where appropriate) for your name, address, payment method and details, mobile phone number and email address. We also hold data about which of our services you have used, and when. This will include call times, routing and durations which are known as "traffic data".

Network and usage data (VoicePro Mobile): when you use a VoicePro Plus SIM or eSIM, our network partner generates the call and data records ("traffic data") needed to route and bill your usage. These identify the country and network you are on and may include the serving cell - the mobile tower handling a given call or data session - and the radio type. This is coarse network information (which tower carried a session, not a precise or continuous location), used only for routing, billing, fraud prevention and regulatory record-keeping, never to track your movements. It is held for the traffic-data periods set out in "How Long Will We Hold Your Data?" below.

We also hold data about how you found out about our services, and how you interact with us through our marketing activities, campaigns we run, calls we make and emails we send. We use this data to improve our marketing activities.

For UK regulatory and KYC purposes, in order to provide the VoicePro Plus Services we may require copies of personal documentation (passport, ID document, etc.) from you which will be held by us and made available to Ofcom or other UK regulators if they so request.

We need this information so that we can confirm your identity and process your order when you first sign up for our Service.

Regulatory Compliance

We may use your personal data for the purposes of meeting our regulatory obligations, and in some cases we will need to share this data with regulators - for example, in the event of you making a complaint.

Credit Referencing

We may use your personal data for the purposes of undertaking credit reference searches and analysing credit worthiness during the term of this Agreement.

Marketing Activities

If you have requested information regarding our product and services we will attempt to contact you via phone and email regarding the specific product that you have enquired about. Should we receive no further contact from you we will delete your data after a period of 12 months. If you have consented to the use of personal data for marketing purposes then we may use your personal data to send you information about additional services that we provide.

Collecting Traffic Data

We may hold data about the numbers and lengths of calls, SMS sent and network usage made in order to bill you for your services. We will also, for a short period of time, hold data in relation to the websites and IP addresses that your devices have used.

Cookies are pieces of information that VoicePro Plus will transfer to your computer's hard drive through your browser to enable VoicePro Plus's systems to recognise your browser. Cookies also enable VoicePro Plus to gather information about the use of its website and to enhance the website according to the preferences of the users.

The Help option on the toolbar of most browsers will tell you how to prevent your browser from accepting new cookies, how to have the browser notify you when you receive a new cookie, or how to disable cookies altogether. VoicePro Plus's cookies do not contain any identifying information. Please bear in mind that some personalised services may not be available if you choose to disable cookies.

When you visit our website, we automatically collect certain technical information for the purposes of understanding how visitors interact with our services and improving our website experience. This data is processed under Article 6(f) of the GDPR (legitimate interest) for B2B analytics purposes.

What We Collect

We collect your IP address, browser type (derived from User-Agent header), pages visited, time spent on each page, scroll depth and which sections of our pages you view. We also generate an anonymous session identifier stored in your browser's session storage (not a cookie) that does not persist after you close the tab.

How We Use This Data

We use this data to understand visitor interest in our products and services, to improve site content and navigation, and to identify potential business enquiries. For B2B visitors, we may use IP addresses to identify the organisation (not the individual) visiting our site. We do not use this data to identify individual persons without their consent.

What We Do Not Do

We do not use fingerprinting techniques, we do not place tracking cookies, we do not share this data with advertising networks, and we do not use it to build profiles of individual persons. We do not send unsolicited emails based on session analytics alone.

Contextual Engagement

Based on your browsing patterns during a session, we may display a contextual message or call-to-action relevant to the content you are viewing. These messages appear once per session and can be dismissed. Any email communication requires you to voluntarily provide your email address and consent.

Email Capture & Follow-Up

If you choose to provide your email address via our website popup, we will send you one contextual follow-up email relevant to the content you were viewing. This requires explicit consent via a checkbox. We will not add you to a mailing list or send further emails unless you separately subscribe. You can request deletion of your data at any time by contacting help@voicepro.plus.

Retention

Session analytics data is retained for a maximum of 90 days and is then automatically purged. Email lead data is retained for up to 12 months for legitimate business interest purposes. You may request early deletion of your session data by contacting help@voicepro.plus with your approximate visit date and IP address.

We use third party providers to store customer support records, to provide physical security for storage of data, to provide access to data stored for billing purposes and to provide access to data for the purposes of customer support and billing. Third party network operators may also need access to your data for regulatory compliance purposes. We will ensure that such agencies conform to the same or similar guidelines as we do.

Sometimes we may have to provide your personal data to third parties to comply with legal obligations. These include, but are not limited to, national regulators, for reasons such as resolving a billing dispute, for use in legal proceedings or even national security. In these cases, we will comply with whatever laws are in force at the time and provide such information as is required.

VoicePro Plus operates from a single UK base. Customer data and traffic are processed at our network points of presence: data centres in Frankfurt (Germany) and Los Angeles (USA), with cross-connects to carrier-neutral colocation facilities in London (UK) and Paris (France). Beyond this network footprint, certain data is processed by named third-party processors listed below.

Where personal data leaves the UK, transfers are protected by the UK International Data Transfer Agreement (UK IDTA) or, where applicable, the EU Standard Contractual Clauses (SCCs) with the UK Addendum, in line with UK GDPR Article 46.

You may ask for a copy of the personal data we hold on you, have it changed or have all personal data removed by emailing your request to help@voicepro.plus. Please outline your request and we will respond initially within 5 days to confirm we can process your request, and then complete the request within 30 days.

You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Where we rely on your consent (e.g. marketing emails, analytics cookies), you may withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal. Marketing opt-outs are honoured immediately.

We use automated systems to help detect fraud and to recommend products. We do not use solely automated decision-making (without human review) for decisions that produce legal effects or similarly significantly affect you. VoicePro Plus takes appropriate technical measures to protect the confidentiality of the communications content via its VoicePro Plus services, and observes applicable obligations and exceptions under the relevant legislation.
